Import master data

Under Configuration → Onventis Connector → Business Connector → BCJob Management you can import your master data.

In the overview you can see all BC Jobs created for your account with the following columns:

  • Title: Title of the BCJob
  • Status: the status indicates the processing status of the BC job. The following statuses are possible:
    • In process: as soon as the import has been started, the BCJob has the status In process.
    • OK: the import was completed without any problems, the data was imported into Onventis.
    • Warning: the import was completed with restrictions. This status occurs if, for example, columns in your import file that are not mandatory fields are missing. The missing data does not cause the BC job to terminate ; the remaining data is imported without errors.
    • Error: the import could not be performed, e.g. due to missing columns which are mandatory fields. The BCJob was terminated and no data was imported into Onventis.

The log files can be viewed by clicking on the respective status. Here you can also see how much data was imported or why imports were cancelled.

Instructions for importing organizational units

To upload organizational units to Onventis, follow these steps:

  1. Download the Excel file OrgUnit_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Configuration → Onventis Connector → BcJob Management
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: Org. Unit Adapter
    3. BizCon Converter: Excel OrgUnit Import Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Organizational Units Import”.
  7. In the Import Data area, select the completed Excel file “Org. Unit_Template”:
    1. Press the selection button
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload the data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for importing address data

To upload the addresses to Onventis, proceed as follows:

  1. Download the Excel file Address_Import_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Configuration → Onventis Connector → BcJob Management.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: Address Import Adapter
    3. BizCon-Converter: MS Excel address import converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Address Import”.
  7. In the Import Data area, select the completed Excel file “Address_Import_Template”:
    1. Press the selection button
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for importing material groups

To upload material groups to Onventis, proceed as follows:

  1. Download the Excel file Material_Groups_Template.xslx.
  2. Fill out the template according to the specifications.
  3. Go to Configuration → Onventis Connector → BcJob Management
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: Material Groups Adapter
    3. BizCon-Converter: Excel and CSV material group converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Material Import”.
  7. In the Import Data area, select the completed Excel file “Material Groups_Template”:
    1. Press the selection button
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for importing eClass numbers

To upload eClass numbers to Onventis, follow these steps:

  1. Download the Excel file OCIEclass_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Configuration → Onventis Connector → BcJob Management.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: OCIEclass adapter
    3. BizCon-Converter: Excel and CSV OCIEclass converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, for example, “eClass Import”.
  7. In the Import Data area, select the completed Excel file “OCIEclass_Template”:
    1. Press the selection button
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.

To upload order units to Onventis, follow these steps:

  1. Download the Excel file Import_QuantityUnit_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Configuration → Onventis Connector → BcJob Management
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: Order Units Adapter
    3. BizCon-Converter: Excel/CSV order unit import converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Order unit import”.
  7. In the Import Data area, select the completed Excel file “Order Unit_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job via the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for the import of customs tariff numbers

To upload customs tariff numbers in Onventish, proceed as follows:

  1. Download the CustomsTariff_Template.xlsx Excel file.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: CustomsTariff import adapter
    3. BizCon Converter: Excel CustomsTariff Import Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Customs Tariff Number Import”.
  7. In the Import Data area, select the completed Excel file “CustomsTariff_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventish immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for importing cost elements

To upload cost elements to Onventis, proceed as follows:

  1. Download the Excel file CostTypeAdapter_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: Cost Type Adapter
    3. BizCon-Converter: Excel CostCategory-Import-Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Cost element import”.
  7. In the Import Data area, select the completed Excel file “CostTypeAdapter_Template.xlsx”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon jobby clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for importing business areas

To upload business units to Onventis, follow these steps:

  1. Download the Excel file BusinessArea_Import_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: BusinessArea Import Adapter
    3. BizCon Converter: Excel BusinessArea Import Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Business Area Import”.
  7. In the Import Data area, select the completed Excel file “BusinessArea_Import_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.

Instructions for importing account assignment objects

To upload account assignment objects to Onventis, proceed as follows:

  1. Download the Excel file CostCenter_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: Cost Center Adapter
    3. BizCon Converter: Excel CostCenter Import Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Account assignment address import”.
  7. In the Import Data area, select the completed Excel file “CostCenter_Template_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.

Instructions for importing an SAP calculation schema

To upload an SAP calculation schema to Onventis, proceed as follows:

  1. Download the Excel file SAP_CalculationScheme_Template.xls.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: SAP Calculation Scheme Adapter
    3. BizCon-Converter: Excel and CSV Calculation Schema Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, for example “SAP calculation schema import”.
  7. In the Import Data area, select the completed Excel file “SAP_CalculationScheme_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.

  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: User adapter
    3. BizCon-Converter: MS Excel user import converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “User Import”.
  7. In the Import Data area, select the completed Excel file “User_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.

Instructions for importing user substitutions

To upload user proxies to Onventis, follow these steps:

  1. Download the Excel file UserDeputy_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: User Deputy Adapter
    3. BizCon-Converter: Excel and CSV UserDeputy converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “User substitutions import”.
  7. In the Import Data area, select the completed Excel file “UserDeputy_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
  9. You will see a prompt, “Are you sure you want to activate the BcJob?” Confirm the question with the OK button.
  10. The BcJob has been saved and will be executed shortly. As soon as the BcJob has been executed and the file could be imported without errors, the BcJob changes to the OK status.

Instructions for importing user groups

To upload user groups to Onventis, follow these steps:

  1. Download the Excel file User Groups_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: User Groups Adapter
    3. BizCon-Converter: MS Excel user group import converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “User group import”.
  7. In the Import Data area, select the completed Excel file “User Groups_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon jobby clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.

To upload suppliers to Onventis, follow these steps:

  1. Download the Excel file Supplier_Template.xlsx.
  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon adapter: Supplier Adapter
    3. BizCon-Converter: MS Excel supplier import converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Supplier Import”.
  7. In the Import Data area, select the completed Excel file “Supplier_Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button.
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.

  2. Fill out the template according to the specifications.
  3. Go to Administration → Settings → Business Connector → BcJobs.
  4. Use the New button to create a new BcJob. Select the following settings:
    1. BizCon controller: Import controller
    2. BizCon Adapter: Inventory Import Adapter
    3. BizCon Converter: Excel Inventory Import Converter
    4. BizCon port: Web interface input port
  5. Create the BcJob with the Create button. The Cancel button takes you back to the overview.
  6. In the Title field, enter a title for the BcJob, e.g. “Inventory Import”.
  7. In the Import Data area, select the completed Excel file “Inventory-Import-Template”:
    1. Press the Select button.
    2. Use the ... button to select the completed file.
    3. Attach the file to the BcJob using the Attach button.
    4. Go back to the BizCon job by clicking the Close button .
  8. If you want to upload the data to Onventis immediately, activate the BizCon job using the Activate and Close button. If you want to upload data at a later time, you can save the BcJob via the Disable and Close button and activate it later via the Activate and Close button.
