🚀 Introduction: email sender, AI and filtering on users

This release includes three key updates:

1. We’re transitioning to a new application for sending emails during June and July. As part of this migration, the sender email address will change to noreply@onventis.com. This release includes several updates to support this transition.

2. We have further improvements to when we create AI Coding proposals.

3. A small but powerful enhancement: you can now filter by user names when assigning invoices using interactive assignment. This will save users significant time.

📧 Email sender address & footer text

At Onventis, we are continuously working to improve our security. An important aspect of this is optimizing the security around sending emails, to ensure that future emails are not marked as spam and delivered promptly.

Therefore, we will be using a new application for sending emails, namely Brevo. This brings a few changes:

1. The default email sender address will change to noreply@onventis.com. In the past, this differs per tenant and most commonly was something like: noreply_customername@onventis.com.

2. To indicate from which tenant the email was sent, a standard text will be included in the footer of each email. As of the 26th of May, you can review the footer text in your test tenant.

To further lower the chances of emails being marked as spam, the above mentioned changes will be effective on test as of 26th of May (one week after the release on test) and on production the changes will become effective in June and July (differs per customer). You don’t need to take action to get these changes, however, if you would like to know when this change takes effect for your account, please create a service request via the service portal.

With these changes, we are improving our security and ensuring that emails will not be marked as spam in the future.

📧 Email sending from worklist

Emails initiated from the worklist (open the worklist and click on the three dots and select email)

1. will also be send by the standard email address. In the past, those emails were send by the user his email address. Now, those emails will be send by the default sender email address. To clarify for the recipient who has sent these emails, the sender name of the email will change to: [Onventis] <Firstname> <Middle name> <Lastname>.

2. To make the user aware of the email address that will be used for sending emails, the FROM field will indicate the email address.

3. When opening the dialog, the user his email address will be included in the CC, so in case the receiptant replies, he can easily reply to the specific user via email.

   

💎 Enhanced AI Coding Proposals for PDF and E-Invoices

Previously, it was not possible to generate AI Coding proposals for both PDF and e-invoices simultaneously. With the latest update, this functionality is now available, allowing customers to further automate their invoice processing.

💎 AI Coding Proposal Optimization for E-Invoices

In our continuous effort to enhance cost-efficiency and streamline processes, we have made a change to the AI coding proposals for e-invoices. Previously, AI coding proposals were generated for all e-invoices, which led to unnecessary costs. Moving forward, AI coding proposals will only be generated for e-invoices that cannot be linked to a purchase order. This adjustment ensures that resources are utilized more effectively and improving overall system performance.

🔍 Filter on users with Interactive Assignment

With the latest update, the "Allow interactive assignment" functionality now includes the ability to search and filter for a specific user. Users can filter based on the full name of the approver, using the "contain" filter method. The grid-level filter has been implemented in the same way as it is used throughout the application, providing a consistent and streamlined user experience.

🧑‍🤝‍🧑 User Groups: Linking and Unlinking Users

We previously introduced user group integration between Onventis Buyer and Onventis Invoice Processing. However, we have noticed that some customers prefer to use User Groups independently of this integration. To address this need, we have enabled the ability to link and unlink users from a group via the user interface. This flexibility allows customers to manage User Groups according to their specific requirements. User Groups can be particularly useful during the clearing step, a process frequently utilized by our German customers.

🛠️ Fix for Document Assignment Issue

In the past, when assigning the same document to multiple lines, the document was only shown for one of the lines. This issue has now been fixed, ensuring that documents are correctly displayed for all assigned lines.

🛠️ Fix for Thumbnail Generation Issue

We have resolved a bug that prevented thumbnails from being correctly generated for created documents (e.g., attachments, invoices, etc.). Thumbnails are now being generated correctly, ensuring a better user experience and improved document management.

🛠️ Fix for Sent From Value Discrepancy

In certain cases, the "sent from" value displayed in the archive differed from the worklist. Although the database had the correct information, the data displayed was incorrect. We have implemented a fix to ensure consistency between the archive and the worklist displays.
