Onventis Fair Use Policy

Effective Date: July 1, 2025

Applies To: All customers of Onventis who are using one or more of our applications

Purpose

This Fair Use Policy (“Policy”) is designed to ensure that all users of Onventis enjoy reliable, performing and consistent service. It aims to prevent misuse or excessive consumption of system resources that could negatively impact other customers, while supporting legitimate usage within the scope of eProcurement and financial operations.

Scope of Permitted Use

Onventis is intended solely for use in the context of:

  • eProcurement-related activities and all related documents

  • Finance-related activities and all related documents

Storage and usage of the platform must be directly related to these domains.

Examples of permitted files include:

  • Invoices and receipts

  • Purchase orders, requisitions and confirmations

  • Contracts and supplier documentation

  • Financial reports and supporting documentation

Examples of non-permitted use include:

  • General-purpose file storage or backups

  • Media libraries (e.g., videos, music)

  • Personal or unrelated business file hosting

Storage Limits

Each customer is allowed up to 500GB of total data storage on the platform.

We reserve the right to monitor storage consumption. If a customer exceeds this limit or is found to be storing unrelated data, we may:

  • Request removal of non-compliant files

  • Impose additional storage fees

Catalog Items

Each customer is allowed to store up to 500.000 catalog items on the platform.

Enforcement

If Onventis determines that a customer’s usage is inconsistent with this Policy, we will make reasonable efforts to notify the customer and work collaboratively to resolve the issue.

Changes to this Policy

We may update this Fair Use Policy from time to time. Customers will be notified of significant changes through the platform or by email.
